Information for Presenters

If you are speaking or hosting a workshop at FOSS4G 2013 in Nottingham, here’s what you need to know:

Admission to the conference

To keep the cost of attending FOSS4G as low as possible for ALL delegates, conference and workshop passes are not free to presenters. All the surplus from FOSS4G goes to the OSGeo Foundation to fund its good work.

Presenters must purchase a conference pass if they wish to attend the rest of the conference in addition to their own session. Workshop presenters are welcome to attend other workshops on the same day as their workshop providing there is spare capacity but will need to purchase a conference pass to attend the main conference.

If accommodation is required presenters are responsible for their own arrangements.

Video recording

We will be recording all sessions during the main conference thanks to LocationTech. We hope to have all sessions available online shortly after the conference.If you do not wish your session to be recorded you must let us know in advance.

Equipment

Presentations

All sessions will be run in lecture style rooms all of which have Wi-Fi and a projector with a standard VGA connection. Larger rooms also have a mic to ensure you can be heard. Please note that the power outlets are all UK and you may need a suitable power adaptor. Should you not wish to use your own laptop please have your presentation available on a USB drive. Presentations in PDF, PPT, ODP or HTML should be fine for display on the provided Windows PC (but PDF is usually safest).

Workshops

Workshops are being held in University of Nottingham computer labs all of which have a projector for the use of the presenter with a standard VGA connection and desktop computers for the use of delegates. In most instances there will be a PC per delegate, if delegates are required to share it is expected that no more than two delegates per PC should be required. All power outlets are UK style as are the keyboards.

Installation of software on the lab PCs is generally not possible and it is expected that workshops will use OSGeo-Live DVD / USB or equivalent. Should you wish to use an alternative Live DVD or USB then the Workshop Team will be happy to test the package prior the the workshops if it is provided by Friday 6th September.

Each delegate will be given a copy of OSGeo-Live DVD 7.0 when they register and we aim on having a stack of spare copies in each lab. Further information about OSGeo-Live and downloads available at live.osgeo.org.

Before your session

We strongly encourage presenters to visit the room in which their session or workshop is held prior to their session time to ensure that they are familiar with the set up. Details of when the rooms will be available before the conference.

On the day

Please ensure that you arrive at least 10 minutes before the start of your session (not your presentation) and introduce yourself to the session chair and the other presenters. This will also be your opportunity to retest your laptop or handover your memory stick.

Archiving presentations and workshops

So that the community at large can benefit from your work we strongly encourage presenters to upload their session and workshop material to the ELOGeo (E-Learning for Open Geospatial Community) portal either prior to or just after the event: http://elogeo.nottingham.ac.uk/xmlui/handle/url/121
